A part can look correct, fit the mounting holes and still fail in the appliance. Gas water heater components are system-dependent: voltage, wiring, ignition sequence, valve logic, gas family, water pressure, geometry and controller software all matter. The buyer’s job is to communicate the interface—not merely the part name.
1. Build an interface sheet for every critical part
The most reliable RFQ includes front, back and connector photos; overall and mounting dimensions; voltage; wire colors and pin functions; gas and water interfaces; markings; appliance model; and a description of operating logic. For electronic parts, a short video of the original sequence can be more useful than a catalogue image.
2. Ask different questions for different components
Pulse igniters require voltage, pin count, ignition sequence, timing and sensor logic. Heat exchangers require material, weight, pipe layout, fins, mounting and pressure checks. Burners require dimensions, rows, gas family and matching with the manifold. Water–gas valves require interface geometry, diaphragm and valve-core details, pressure range and leakage requirements.
- Igniters: input, output, timing, pins, flame sensing and enclosure
- Heat exchangers: copper specification, weight, geometry and pressure test
- Burners: rows, gas version, nozzle/manifold matching and mounting
- Valves: water pressure, gas path, leakage, microswitch and dimensions
- Displays and sensors: protocol, connector, range, calibration and UI
3. Control substitutions during production
An approved sample does not prevent later substitutions unless the order identifies what must remain unchanged. Record the manufacturer, model, material, critical dimensions, connector and visible markings. Require notice and re-approval before any critical substitution.
For matched sets, test the parts in the intended appliance rather than accepting isolated bench results. Keep one signed golden sample with the buyer or inspection party and one with the supplier.
4. Use commercial terms that support technical control
The purchase order should reference the approved sample, interface sheet, inspection method, packaging, quantity tolerance and remedy for nonconformity. For repeat orders, compare current samples and markings with the last approved batch.
